Body Wellness (“Body Wellness,” “we,” “us,” or “our”) provides pain management, rehabilitation, and wellness services from our clinic in Concord, California and through mobile sessions across the greater San Francisco Bay Area. This Privacy Policy explains what information we collect through bod-wellness.com and in the course of providing our services, how we use and protect it, and the choices available to you. By using our website or booking a session with us, you agree to the practices described below.

1. How We Collect Your Information

We collect information in a few different ways, depending on how you interact with us:

  • Automatically, when you visit our website: our hosting provider and standard website tools may log technical details such as your IP address, browser and device type, and the pages you view. Our Contact page also includes a Google Maps embed, which may collect information under Google’s own privacy policy. See “Cookies & Website Analytics” below.
  • Directly from you: when you submit our website contact form (name, email, and message), or share health and intake information with us before or during a consultation — such as your physical health history, current symptoms, and goals — so Monica Islas, ATC can safely and effectively design your care plan.
  • Through Calendly, our scheduling platform: our “Book Now” links take you to Calendly’s website to choose a time and enter your name, email, phone number, and appointment details. That information is collected by Calendly and shared with us to manage your booking, subject to Calendly’s own privacy policy — once you click through, you’re on their site, not ours.
  • Through our payment processor: deposit and session payment details you provide are collected and processed by our third-party payment processor. Body Wellness does not store full payment card numbers on our own systems.

2. Information We Collect

The categories of information we collect through the methods above include:

  • Contact information, such as your name, email address, and phone number.
  • Health and intake information, such as your physical health history, current symptoms, goals, and relevant medical background. This is never sold or used for advertising.
  • Scheduling information, such as your appointment type, date, time, and session location (clinic or mobile).
  • Payment information, such as deposit and session payment details.
  • Website usage information, such as pages visited and general device/browser information, collected automatically through standard website hosting and analytics tools.

3. How We Use Your Information

We use the information we collect to: schedule and manage appointments; communicate with you about your care, bookings, and any changes to your session; provide safe, individualized treatment and home care plans; process deposits and payments; respond to inquiries submitted through our contact form; and improve our website, programs, and community offerings. We do not sell your personal information.

4. Health & Wellness Information

As a board-certified athletic trainer practice, Body Wellness treats the health information you share with the same care and confidentiality you’d expect from any wellness provider. Body Wellness is not a hospital or insurance-billed medical practice, and this Privacy Policy is not a HIPAA Notice of Privacy Practices; however, we limit access to your health information to Monica Islas and anyone directly involved in delivering your care, and we do not share it with third parties for marketing purposes.

5. Third-Party Services

Our website and booking process rely on trusted third-party services, including Calendly (appointment scheduling), a payment processor (deposits and session payments), and Google Maps (clinic location and directions). These providers have their own privacy policies governing the information you share directly with them, and we encourage you to review those policies. We are not responsible for the privacy practices of third-party services you interact with independently of bod-wellness.com.

6. Cookies & Website Analytics

Like most websites, bod-wellness.com may use cookies or similar technologies to keep the site functioning properly and to understand how visitors use our site. You can control or disable cookies through your browser settings; doing so may affect some website features.

7. Information Sharing & Disclosure

We do not sell, rent, or trade your personal information. We may share information only: with service providers who help us operate (such as Calendly or our payment processor); if required by law, court order, or to protect the safety of a client or others; or with your consent.

8. Data Security

We take reasonable administrative and technical measures to protect the personal and health information you share with us, including limiting access to authorized personnel. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Data Retention

We retain client intake and health information for as long as reasonably necessary to provide ongoing care, meet recordkeeping practices common to wellness and rehabilitation providers, and comply with applicable law. You may request that we delete information that is no longer needed, subject to any records we are required to retain.

10. Youth Clients & Children’s Privacy

Body Wellness offers Youth Sessions for clients ages 8 to 15. A parent or legal guardian must complete booking and intake on behalf of any client under 18 and consent to the collection of that minor’s health information. Our website is intended for use by adults booking on their own or a minor’s behalf, and we do not knowingly collect personal information directly from children through the website itself.

11. Your Privacy Rights

If you are a California resident, you may have rights under the California Consumer Privacy Act (CCPA) and related law to request access to, deletion of, or details about the personal information we hold about you. To exercise these rights, contact us using the information below; we will respond within the timeframe required by law.

12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal reasons. The “Effective Date” above reflects the most recent revision. Continued use of our website or services after changes are posted means you accept the updated policy.
